This Privacy Policy explains how Bottle Payment Systems Pvt. Ltd. ("Bottle", "we", "us", "our") collects, uses, stores and shares information through the FORMULA website, our enquiry and support channels, and Formula Device hardware and its management dashboard where they are deployed at a property (together, the "Services").

It applies to visitors to this website, to people who contact us about FORMULA, and to properties, their staff and their guests who interact with a Formula Device.

Enquiries. This website has no forms and no accounts. When you contact us by WhatsApp, email or a booked call, we receive what you choose to send: typically your name, contact details, property name and location, and what you would like to discuss.

Bookings. If you book a call through the embedded calendar, the booking is made with Cal.com, which shares the name, email address and any notes you enter with us so we can hold the meeting.

Technical data. Like any website, our hosting provider automatically records standard technical information when a page is requested, such as IP address, browser type, the page requested and the time of the request, to deliver the site and keep it secure.

Property and device data. Where a property deploys Formula Device, we process the information needed to run it: property and staff contact details, device identifiers, device status and connectivity, and the content the property publishes to its displays.

Guest interactions. Guests do not need an account to use a Formula Device. Orders and service requests a guest places on a display, such as a room number and the items requested, are passed to the property's connected systems so its team can respond.

We use the information above to:

• Reply to enquiries, arrange demonstrations and prepare proposals.
• Deliver, install, configure and support Formula Device deployments.
• Route guest orders and service requests to the property's connected systems.
• Monitor device health and keep the website, devices and dashboard secure.
• Improve our products and services, using aggregated information where possible.
• Send service notices and, where you have agreed, product updates.
• Meet our obligations under applicable Nepali law, including tax and accounting requirements.

We do not sell personal information. We share it only where needed to provide the Services:

• Communication and scheduling providers that carry your enquiry, such as WhatsApp (Meta), our email provider and Cal.com.
• Hosting and infrastructure providers that run this website and the Formula dashboard under confidentiality obligations.
• The property's own systems, such as a supported property management system, when a guest places an order or request.
• Authorities, where disclosure is required by law or needed to protect our rights, our users or the public.

This website does not use analytics, advertising trackers or cookies of its own. Your browser may keep a small note in session storage so the opening animation is not repeated when you return to the homepage during the same visit; it is cleared when you close the tab.

The embedded booking calendar is provided by Cal.com and may set its own cookies when you open it. Its use of them is covered by Cal.com's privacy policy.

We apply reasonable technical and organisational measures to protect information, including encrypted connections, access controls on the Formula dashboard and restricting access to the people who need it. No system can be guaranteed completely secure, and we encourage properties to manage staff access to the dashboard carefully.

We keep enquiry correspondence for as long as needed to respond and to maintain a business relationship, and delete it when it is no longer needed. Deployment, device and billing records are kept for the term of a property's agreement and afterwards for the period required by Nepali tax and accounting law.

This website and our enquiry channels are intended for businesses and are not directed at children. We do not knowingly collect personal information from children through them.

Subject to applicable law, you may ask us to:

• Tell you what personal information we hold about you and provide a copy.
• Correct information that is inaccurate or incomplete.
• Delete your information, unless we must keep it by law.
• Stop or limit certain uses, including sending you product updates.

We may update this Privacy Policy from time to time. The "Last revised" date above shows when it last changed, and we will notify properties with active deployments of material changes by email.
